Greetings all!

I am taking the initiative and setting this system into place for our use. it is based on my earlier posts and the post/suggestions of members I have heard since then. If anyone has any disagreements with it, new ideas to add to it, or wants to discuss it in general, please communicate to me in any fashion you like (writing on email napkins is usually most fun though!) and we can talk! Some of this may look hauntingly familiar, as I am copying bits and pieces directly from previous posts.


1) We shouldnt rush into joining new members. In general, there isnt any reason why we cant take our time getting to know someone, and they getting to know us. However, we should always ensure a potential member is informed of what their standing is, and kept feeling as though they are not languishing in "potential memberdom".

2) A potential member shall need to go to 4 official clan events. a clan event is a "clan meeting, newbie hunt, clan hunt, Dun Ilsar, or anything else we as a clan cook up. they shall also have to visit with at least 40% of the clan in a non-clan organized manner. This could be talking in town for awhile, going out hunting, seeing a WoD pushball game, a rescue, a sunstone conversation,or whatever else gets cooked up. If you are a member who participates in this, E-mail me or post on the forum that youve talked with them if its possible (though during a vote i will ask which people ask which people have sponsored the exile, so its not that big a deal)

3) Everyone in the clan should have the option to vote - Officers and non officers alike. We have formed the clan on the idea of being equal, and we shouldnt betray that ideal. If an officer feels that their position is making it difficult to vote for a member or members they should bring that to the attention of the membership coordinator and they can work something out. The same goes for non-officers who feel they may have a problem voting for a particular person or members in general.

4) If someone wants to write a post about an exile anonymously, then they should write in "anonymous" as their name when submitting a post. If a person does not feel that that offers them enough anonymity (since a number of us would be readily recognizable merely by the way we write, yours truly included <giggles>) they should discuss their feelings with another member, who can then summarize those opinions and write them in place of that member to preserve their anonymity. In those cases,the writer should simply state that it was posted on behalf of someone else.

5) The clan treasury should not fund the 100 coins to induct a new member into the clan. The inductee should have worked to get the money in some other way-even if it was clan hunts with us. members present at the joining of the inductee can feel free to donate their own money if they choose.

6a) Voting a member in: Everyone in the clan should vote. Votes should be conducted by E-mail, and should be sent to the secretary-in-charge. The secretary and the membership coordinator should not reveal (or even make a hint at) how any other members voted-if anyone wants to know how other members voted they should ask those members specifically. You can feel free to announce how you voted to other members if you choose, but are never under any obligation to do so.

6b)there are 4 kinds of votes, listed below:

*) Aye! - this vote is to say you want the member to join us!

*) Opposed! (if a person sends a "nay" it will count as "Opposed!") - This vote is to say that you personally do not want the member to join, but you are willing to put your personal feelings aside should the potential member be inducted. (ie: them getting into the clan will not make you feel threatened enough to consider leaving)

*) Vote to Bar Entry - This vote is to say that if a member is entered into the clan, you are going to have alot of trouble dealing with it, perhaps to the point of considering leaving, or avoiding clan functions. This vote should not be cast lightly, and hopefully not often. If you choose to cast it, an explanation as to why is requested (either in that email or previous to the vote on the forums). If the reasons are too personal to be shared, then say just that in the e-mail, and the matter will not be pressed.

*) I Abstain! - This vote should be used in special occurences only - examples being that you feel your office is interfering with your ability to vote, you have not been able to meet the member at all, or the member has not cast a vote in the time allowed, etc. This is another vote that an explanation is requested for. Again, if the reason for abstaining is too personal, write that as your reason.

*)the windy dawny funky chicken vote of loooove - this vote is the same as an "aye!", except it will make me laugh a whole lot more if it gets cast =)

6c) if a person personally casts numerous "vote to bar entry" or "abstains" without ever offering reasonable explanations, their ability to cast these votes will be reviewed with that person, and possibly revoked.

6d) when you are voting, please include in your email if you sponsored the member (sponsoring a member means you were one of the 40% of clan members they spent time with in non-clan events)

6e) a potential member should be asked to send in an email (to the secretary and to the membership coordinator) which people sponsored them, and when they attended their 4 clan events. This can happen as soon as they meet their quota if they choose, or by voting time (in which case they should send in all the members who sponsored them, not just 40%, and all the events they attended if they can recall them all)

6f) the voting period shall last from one meeting to the next meeting, and should never be less then 5 ooc days long.

7) vote tallying: here is how the votes are counted.

7a) if over a third of the clan is "opposed!" to the exile joining, they shall not be let in.

7b) if between a quarter and a third of the clan are "opposed!", then the exile should be put on standby, a one week waiting period where we discuss our feelings on the member, and perhaps get to know them a bit better. After this week is over, another vote is cast, and if 25% or more of the members still are "opposed!" then the exile shall be denied entry.

7c)If we get one "vote to bar entry", the member will be put onto standby as said above, so we can try and work the issue out. if we get 2 "votes to bar entry" then the member should be denied entry.

7d) if a person does not cast a vote in the alotted voting period, they shall be counted as an abstain.

7e) If we get a relatively large number of abstains, the clan can decide whether there should be a revote at the next meeting.

7f) if they dont meet any of these qualifications, hand them a slice of Nunul's specially smoked Windy Bacon!

8) Joining a member to the clan should generally occur either after a meeting, or when lots of members are around to bask in the joy of our clan growing up! The person who officially joins the member should be decided on an individual basis. If a member is joined, please announce it on the forums so everyone knows!

there we go! I hope I got everything we need for now. I am going to make a comments topic in this area-please post anything you have to say there, and leave this topic untouched so that we can make changes to it more clearly.

Addition to 7c) if a member has already been through the "standby period", then a single "vote to bar entry" carries the same weight as an "opposed" vote, unless multiple "votes to bar entry" or sent in.

There hasnt been any response to the idea of changing these, so I assume there arent any complaints. We shall stick with the 4 events necessary before joining. We are approcahing a point where we may need to append the voting system's numbers due to the increase in members - I will take a look and see how things crunch out currently numberswise. Here is an updated list of what officially counts as attending a clan function:

Ah, my sweet Lilly...would it have been as memorable a first clan hunt if we had slobbered myrms? 8)

I mentioned in another thread that the "4 events" policy is a bit strange to me at first thought, but I couldn't come up with a better idea really. That's why I didn't answer to Lilly's post here - if anyone wonders. :)

Nunul: I hope that you didn't exclude the Fire Isle completely from your list of possible clan hunts. If my memory serves right, this is one of the isles I never departed from so far. =)

Pushball might count as one too if the league ever gets going...

For me, it is good... not too quick but possible if people really want to go in. And it is not really slow [2 zodiacs is possible: 2 meetings + 2 hunts].
