I don't understand why votes cast on membership issues go to GrayGradi, and not to Lilly. Since it is an issue of membership, it seems to me that it should go through the Membership person.

Once she gets and interprets the results, she can send those results on to Gray for recordkeeping.

In part, I think we should try and keep the operations of a section within that section, and in part, I don't think we should heap more onto Gray's plate.

I know this was discussed at a meeting, but I still don't really see the logic.

I think it was just for the idea of keeping all voting stuff from within one person.

Say Gray wasn't coordinating all the voting, one could possibly get a vote from three or more different people in a week. Perhaps this would be confusing...

But if only one person conducts the voting (sends the emails) then less confusion...

But it would probably work either way.

Perhaps having Gray do all the voting does keep all the secretary type stuff within his section?
Know what I mean? It all depends on how you look on it...

I think either way is fine. However I think there is an benefit to having only one person conduct the voting. But then if that person goes away or somethign for a while, he/she has to make sure to appoint someone to do his/her duties while he/she is away.

But if it was the other way, we would know what the vote was about depending on which person it came from...

So I thunk there are advantages/disadvantages either way.

I hope that clouds the issue even more... :)

Yes, it does add a new degree of uncertainty. =)

OK, I can see one large advantage of sending all votes through Gray. He can compile a 'vote-digest' with everything in one large block, in place of lots of quick e-mail votes.

I personally would prefer votes to come in separately, and deal with them as they come, but I check my e-mail compulsively, and this may not work best for all.

I can see either system working, I guess.

I have no problem with GrayGradi sending/recieiving the ballots, but I would appreciate them being forwarded to me after they are recieved, so I too know whats going on, and, in the cases of abstains/votes to bar entry, I am able to get the explanation as to why that vote was cast. Whichever one of us gets them first doesnt make much difference, as long as he gets to see them for the records and i get to see them for my duties.

I think I stated my thoughts at a meeing, but here it is again...
I consider the fact that an officer can decide to make a decision on his/her own. I also consider that an officer may want to guage the mood of the clan before making his/her decision. I feel that this may happen quite regulrly, especially when we grow in numbers. i feel that that officer should have the right to send out a balot to whomever they feel they would need an opinion from on the matter. The secratary would not really have to know if this "debate" ever went on. Of course, making the decision, the officer would then inform the secratary of the details.
Aeric, I completely join you in not seeing the logic.

First off, I will forward actual mail to you, Lilly. My only reason for not doing so was not to burden both of us with the clutter.

I would be happy to be relieved of the chore of doing mail votes; and in the case of "straw polls", I too fail to see much logic behind my conducting them, other than possible consolidation of communications, and consolidation of dunning follow-up requests).

However, with "official" votes (e.g., membership) the logic is that the secretary maintains a permanent record (i.e., keeping the messages in an archive). This may have some merit, at least to the bureaucratic minded

Indeed.

I would say that the records could equally well be kept by either the Secretary or the Membership Coordinator, or both (yay, redundancy).

Is there any opposition to officers (or others) conducting informal, information-gathering polls of their own?

I respectfully decline the offer to keep records- they will be disorganized in a week, and lost in 2 <grins> keeping rcords of things is not somethign i am proficient at.

ill have to give consideration to the information-gathering polls...ill post later on that one.
